UPON ARRIVAL - Unloading your Booth: PLEASE arrive at the Trinity Portico (WEST) drive area only for unloading your booth and checking in to the TEVA show upon arrival. *This is not the main hotel check-in entrance, but on the “Convention Center” side of the hotel".

We will have student volunteers on hand to help you unload from your vehicles and then transport your supplies to your booth. Please do not leave your vehicle unattended on the Trinity Portico. It’s important that we unload and then park vehicles promptly. Students will help facilitate this and will be available to all vendors from 1:00pm-5:00pm on Wednesday, July 31st and Thursday, August 1st from 8:00am-10:00am.

Booth Supplies: Freeman will be handling our booth set up again this year. Access the Freeman Exhibitor Kit Here. We will be offering basic electrical plugins for ALL booths this year. There will be central powerpoints run among the booths for all to plug into. If you need anything beyond a basic outlet, please order your electricity through the hotel by using THIS FORM. All booths will come with a table, two chairs, trashcan and tablecloth. The ballroom is carpeted. You may add flooring to your booth, but we don’t feel it’s a necessity. You will only need to utilize Freeman, if you require anything beyond this and/or shipping services. One of the main complaints we had last year was that the ballroom is dark. If you think this will be an issue for your booth, we encourage you to bring additional lighting.

Booth Numbers/Locations
are all listed in the Symposium brochure and on your invoices. These numbers and layouts take precedence over anything else you’ve received previously. All maps are included within the program as well.

Extra Name Badges: Each sponsorship (except Platinum) comes with 2 sets of name badges. Extras may be purchased at $500/ea. We do not limit the number of representatives per company, but everyone must be badged. To order extra badges, please submit an email to info@texasequineva.com and we will invoice you for them. They must be paid in full prior to arrival at the Symposium.

Thursday Night MERCK - DECHRA Welcome Reception will be held in the Tradeshow from 5:00PM-7:00PM. This is reception style food and a bar. The reception will end at 7:00PM so if you would like to take clients out to dinner afterwards, this is your chance to do so! We do ask that you kindly stay until 7:00PM though as the second half of that reception is going to be a focused Meet and Greet of our group of our veterinary students attending this Symposium.

Friday Foundation Gala: The Gala will start at 7:00PM on Friday night. We would appreciate your support in getting everyone to stick around for the Gala on Friday night. This is our largest Foundation fundraiser of the year and it’s very important to us.

2024 Symposium Tradeshow Hours
Wednesday, July 31:
1:00PM-5:00PM: Sponsor Check-In and Booth Set-Up at the Trinity Portico area and TEVA Registration in the Bur Oak Room. You may unload your vehicle in the portico outside of the TRINITY (CONFERENCE CENTER) side of the hotel, not directly in front of the hotel lobby area. We will have students on hand to help you.

Thursday, August 1:
8:00AM-10:00AM: Sponsor Check-in and Booth Set-Up at the TEVA Registration Desk, Bur Oak Room
10:00AM-10:30AM: TRADESHOW OPENS
10:45AM-11:15AM: Sponsor and Exhibitor Meeting in ROOM: TBD
11:30AM-1:00PM - Welcome Lunch - Tradeshow Open
3:00PM-3:30PM - Tradeshow Open during Long Break
5:00PM-7:00PM - Welcome Reception, Held in the Tradeshow

Friday, August 2:

Sponsors/Exhibitors must break down their booths at 3:30PM. All booths must be cleared out by 4:30PM. Any equipment or booths needing to be stored for Saturday shipping must be moved to the Bur Oak room by 4:30PM.

Saturday, August 3:

Registration Bags: If you have items to add to the registration bags, please ship them directly to the hotel and email us to let us know to look for those items. We are planning for 200+ registration bags. You may also supply an additional 75 items for the student volunteer’s welcome bags.

Shipping: When shipping to the hotel, please add TEVA in the “to” line along with your name. It will be delivered to the Bur Oak TEVA office. The hotel will receive packages one week ahead of the meeting and MAY CHARGE ADDITIONAL FEES for handling shipments.

Parking: TEVA has special discounted parking rates at the Worthington Renaissance Hotel!

TEVA Daily Parking Rates: $22 Self-Park, $25 Valet & $53 Oversized + tax.
TEVA Overnight Parking Rates: $30 Self-Park, $45 Valet & $53 Oversized + tax.

Oversized Vehicle Parking: To accommodate larger vehicles, we have rented an off-site lot.  Larger vehicles include trucks with dually tires, vehicles taller than 6’8” or vehicles towing trailers of any size.
The lot is 6 blocks away from the hotel and below is a map with the route from the parking lot to the hotel.  The lot address is: 500 E Weatherford Street, Fort Worth, TX 76102

The hotel will be running a SUV shuttle 24/7 every 20 minutes to the lot from the Main Drive starting on Wednesday, July 31st – Saturday, August 3rd.

Please do not leave your vehicles on either the Main or West Drive unattended.  We ask that you kindly unload and leave your things with the valet attendants or TEVA students then park immediately.

Please inform the front desk of your parking situation at check-in so the discounted parking rates are posted correctly.
